Privacy Policy
Personal Interview CRM
1. Introduction
This Privacy Policy describes how Personal Interview CRM ("the application") collects, uses, and handles information when you use the service. Personal Interview CRM is a personal productivity tool built for tracking job applications and interview experiences.
The application is operated by Sagar Jain as an independent personal project. It is not affiliated with, endorsed by, or operated by Google LLC or any other company.
By using the application, you agree to the practices described in this policy. If you do not agree, do not use the application.
2. Information We Collect
2.1 Google Account Information (via Google Sign-In)
Personal Interview CRM uses Google OpenID Connect (OIDC) for authentication. When you sign in with Google, the application receives the following information from Google:
-
Account identifier (
sub): A unique, opaque identifier assigned by Google to your account. This is used internally to identify your account within the application and to link your data records to you. It is not your email address and is not exposed to other users of the application. - Email address: Your Google account email address, used to display account information within the application.
- Display name: Your Google account name, used for display within the application interface.
The application requests only the openid, email, and
profile OAuth scopes from Google. It does not receive your
Google account password, and it does not access Gmail, Google Drive,
Google Calendar, Google Contacts, or any other Google service data.
2.2 User-Created Application Data
When you use the application, you may create and store the following types of information:
- Company name and job title for positions you have applied to
- Job descriptions you choose to save
- Application status and priority level
- Interview round details (stage name, date, type, outcome)
- Interview questions you were asked
- Answers you provided during interviews
- Improved or revised answers for future preparation
- Additional notes attached to applications or interview rounds
All of this information is entered by you voluntarily. The application does not automatically generate or collect this data; it is only stored when you add it.
2.3 Session and Authentication Data
Personal Interview CRM is built with Streamlit and uses Streamlit's OIDC authentication integration. When you sign in, the application creates a session to maintain your authenticated state. This session is managed through cookies stored in your browser.
Streamlit's OIDC integration sets a browser authentication cookie when you sign in. This cookie can remain valid for up to 30 days. Signing out of the application clears this authentication cookie from your current browser. However, signing out of Personal Interview CRM does not sign you out of your Google account, and does not invalidate authentication state that may have been established in a different browser or device. If you are using a shared device, sign out of the application and clear your browser cookies to fully end the session.
2.4 Platform-Level Logs
The application itself does not collect or process server access logs. Railway, as the hosting provider, may generate operational logs (such as request timestamps and platform metrics) as part of normal infrastructure operation. These platform-level logs are managed by Railway and are subject to Railway's Privacy Policy. The application operator does not routinely access or process individual user-level request logs.
3. How We Use Your Information
The information collected is used for the following purposes:
-
Authentication and account identification: Your Google account
identifier (
sub), email address, and display name are used to create and maintain your account within the application. - Providing the service: Your application records, interview notes, and Q&A entries are stored so you can access and update them over time.
- Data isolation: Your account identifier is used to ensure that only you can read and modify your own records.
We do not use your information for advertising, marketing, profiling, or any purpose other than operating the application for you. We do not sell your data.
4. Data Storage
4.1 Database
Application data — including your job applications, interview records, Q&A entries, and the Google account information used for authentication — is stored in a SQLite database.
4.2 Hosting
The application is intended to be hosted on Railway, a cloud application platform. Data stored by the application resides on infrastructure provided by Railway. Specific data residency and geographic storage details are determined by Railway's platform configuration. See Railway's Privacy Policy for information about how Railway handles data on their platform.
4.3 Data Isolation
Each user's records are associated with their account's unique Google identifier
(sub). The application enforces ownership checks so that a user can only
read and modify their own records. Other users cannot access your data through the
application interface.
4.4 Security
Reasonable technical measures are used to protect stored data. The application is served over HTTPS. However, no internet-connected system can guarantee complete security. We cannot guarantee that data will never be accessed, disclosed, altered, or destroyed by unauthorized parties, and you use the application with this understanding.
Application data is stored in a SQLite file on Railway's infrastructure. Storage-level security, including any disk encryption, is provided by Railway's platform and is not separately configured at the application level. No additional encryption layer is applied to the database by this application.
5. Service Providers
The application uses the following third-party services, each of which may process some of your data:
- Google (Alphabet Inc.): Provides authentication via Google OpenID Connect. When you use Google Sign-In, your sign-in request is processed by Google in accordance with Google's Privacy Policy.
- Railway: Provides cloud hosting and infrastructure for the application. Data stored by the application resides on Railway's systems. See Railway's Privacy Policy.
No other third-party analytics, advertising, or data-sharing services are intentionally integrated into the application.
6. Cookies and Sessions
The application uses a browser authentication cookie to maintain your session after signing in with Google. This cookie is set by Streamlit's OIDC authentication integration and is required for the application to function. It can remain valid for up to 30 days. Signing out clears this cookie from your current browser.
The application does not use cookies for advertising, cross-site tracking, or analytics purposes.
7. Data Retention
Your account data and application records are stored for as long as your account is active in the system. The application does not currently implement automatic deletion of inactive accounts or records.
If you stop using the application and wish your data to be removed, you can request deletion by contacting sagarjain2030@gmail.com. Deletion requests are handled manually on a best-effort basis. Note that Railway's infrastructure may retain platform-level backups as part of normal operations; the timing of backup rotation on Railway's systems is outside the direct control of the application operator, and residual data may persist in such backups for some period after account deletion is carried out.
8. Your Rights and Data Requests
You may contact us at sagarjain2030@gmail.com to:
- Request confirmation of what data is stored associated with your account
- Request correction of inaccurate information
- Request deletion of your account and its associated records
Important limitation: The application does not currently provide automated account deletion or automated data export features. These requests are handled manually. We will make reasonable efforts to respond to verified requests in a timely manner.
9. Children's Privacy
Personal Interview CRM is intended for adults seeking employment. The application is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has used the application or provided personal information, please contact us at sagarjain2030@gmail.com and we will take appropriate steps.
10. Changes to This Policy
This policy may be updated as the application develops. When changes are made, the "Last updated" date at the top of this page will be revised. Continued use of the application after a policy change constitutes acceptance of the updated policy.
Where a change materially affects how your data is used, we will make reasonable efforts to communicate the change.
